How do I get started?

Sign in, go to the Connections page and link your CRM, email, and LinkedIn. Then open the Email page and fill in three quick fields: your sender name, a few reference URLs about your business (your homepage and a services page are usually enough), and your email signature. A built-in AI prompt handles the writing, so you can run your first campaign immediately — or open the AI Prompt section to tailor the tone.

How long does it take to set up my first campaign?

About fifteen minutes the first time, including connecting accounts. After that, launching a new campaign is a couple of clicks: pick which CRM view (or saved prospect search) to work through, adjust any filters, and click Run once. Every change saves automatically — there is no separate Save button anywhere in the app.

How does the AI write emails?

For every lead, the AI reads the lead’s details from your CRM together with the reference URLs you provided about your business. It then writes a short, personalised email inside your chosen word-count range (defaulting to 80–150 words). A built-in preview button shows you exactly what a real lead would receive before anything is sent.

Yes. The AI Prompt section lets you describe how you want the AI to write — "casual", "consultative", "start with a one-line observation about the prospect’s company", "never mention price in the first email", and so on. Start with the tuned default and only customise once you have seen a few real sends.

Will the emails actually look like they came from me?

Accepted Answer

Yes. Emails are sent through your own connected mailbox, so prospects see your real name and address in their inbox. Your HTML email signature — including any logos or disclaimers — is appended exactly as you would send it manually. Replies land in your inbox where you would expect them.

Can I set word-count limits?

Yes — inside the AI Prompt card you set a minimum and maximum word count. The AI targets that range on every send. A short punchy opener, a longer consultative note, or anything in between is just a two-number change.

Every successful send creates a follow-up task on the CRM lead so that your history lives in your CRM, not in a silo. The actual email body also lands in your Sent folder because it is routed through your mailbox. You can optionally update any CRM field automatically after a send — see "Keeping my CRM in sync" below.

It sends personalised connection requests with an optional AI-written note, and — on LinkedIn plans that include InMail credits — sends AI-written InMails. It respects LinkedIn’s weekly connection-request caps automatically, and paces sends through the day with small randomised delays so activity looks like natural use.

Do I need a special LinkedIn plan?

No — a free LinkedIn account works. The system detects your plan when you connect and adjusts its weekly limits to match (100 connection requests per week on free, 150+ on Premium plans). InMail is available on Premium and Sales Navigator plans.

Is my LinkedIn account safe?

We use a secure background session and deliberately conservative defaults: hourly caps, randomised delays between actions, and daily ceilings well below LinkedIn’s own limits. Start with the defaults, run for a week or two, then tune only if you are comfortable. The Dashboard flags any skipped or suspicious events so you can see exactly what the system did.

Can I turn off LinkedIn but keep email running?

Yes. Email and LinkedIn are configured on separate pages and run independently. You can enable one, both, or neither at any time — switching a channel off takes a single click.

Where do new leads come from?

The Prospecting page searches a global B2B database of companies and the people inside them. You describe your ideal customer — industry, headcount, revenue, country, job titles, seniority — and the system returns matching companies and contacts. You can save any search and rerun it with a single click.

Do I have to contact every lead that comes back?

Accepted Answer

No — prospecting and outreach are separate steps. Search returns a list you can browse. You tick the boxes next to the people you actually want to contact, reveal their email or mobile (if needed), and push only those to your CRM. The ones you skip cost you nothing.

What if I already have leads in my CRM?

Then Prospecting is optional. Outreach runs can target any CRM view, so if you already have a curated list of leads, Leadmeister will work through them without ever touching the prospect database.

How do I narrow a search to just the right accounts?

Accepted Answer

The filter panel is organised into "Target Account" (company-level — industry, size, location, revenue) and "Contact" (person-level — titles, seniority, whether they have a verified email or mobile on file). The "Has email" filter is on by default, so you only ever pay for leads you can actually reach. Start tight — it is easier to loosen filters than to wade through thousands of loose results.

How do I tell the system which leads to contact?

Open the Run Setup section on the Email or LinkedIn page and pick one or more of your CRM views — these are the saved lists you already use inside your CRM. If a lead appears in more than one selected view, they are only contacted once.

Can I add extra filters on top of a CRM view?

Accepted Answer

Yes. Under each view selection, the Criteria builder lets you layer extra rules: field, operator, value. Group rules with AND or OR and nest them as deep as you need. For example: "(Industry is Technology OR Industry is SaaS) AND Last Activity before 30 days ago."

Can I use "30 days ago" without typing the date every morning?

Yes. For any date field, the value picker lets you choose "Current date ± N days" — set N to -30 for "30 days before today" or +14 for "two weeks from now". The condition stays accurate as time passes without you ever updating it.

What happens if my criteria return no matches?

The run simply completes with zero leads processed. No credits are spent, nothing breaks. Loosen the criteria and try again.

Does the system update my CRM automatically?

Accepted Answer

Yes. After each successful send, Leadmeister can update any fields you nominate on the lead record — for example setting "Pipeline Stage" to "Outreach Engaged", stamping "Last Outreach Date" with today, or setting a follow-up reminder seven days from now. Up to ten field updates per run are supported.

Can I set dates that move with time?

Yes. For any date field in the Field Updates section, you can choose "Current date" (resolves to the day of send) or "Current date ± N days" (e.g. today + 7 for a one-week review reminder). Hard-coded dates are supported too, but usually the dynamic option is what you want.

Does the system avoid double-contacting the same lead?

Yes. When pushing new leads from Prospecting, your CRM’s own de-duplication is respected — existing leads are skipped. Within a single run, a lead is only contacted once even if they appear in multiple selected views. And the Criteria builder makes it trivial to exclude anyone you have contacted in the last N days.

Can I have runs go out automatically on a schedule?

Accepted Answer

Yes. The Schedule section lets you set a send rate (e.g. 20 per day), active days (e.g. Mon–Fri), an active time window (e.g. 09:00–17:00), and a timezone. The system paces sends inside that window automatically. You can leave the office, come back the next morning, and see everything that went out.

What if I need to stop everything right now?

Untick "Enable scheduled runs" on the Email and LinkedIn pages — the system becomes immediately idle. You can also pause or cancel any run in progress from the Dashboard, which stops new leads being picked up while letting any in-flight send complete cleanly.

What if the schedule fires when I am not ready?

Accepted Answer

The moment you enable scheduling, a confirmation modal tells you exactly when the next run will fire and gives you a Cancel button. Closing the modal without cancelling is the deliberate "I am ready" step — nothing fires silently.

Can I run email and LinkedIn at the same time?

Accepted Answer

Yes. They run on separate workers with separate rate-limit clocks. Configure both pages and enable both schedules — they will not interfere with each other.

Where do I see what has gone out?

The Dashboard gives you a single view of every channel: emails sent, LinkedIn connection requests, InMails, plus prospecting activity like searches run and contacts enriched. A date-range selector lets you look at this week, this month, or the previous month. Below the stats, a Recent Runs table shows your last five runs with clickable drill-downs.

What if a send fails?

Each lead in a run is logged independently — sent, skipped, or errored — with the reason shown. The Dashboard summarises error counts, and the History page lets you review any individual run lead-by-lead. Errored leads are never retried automatically, so you stay in control.

Can I preview what a lead will receive before sending?

Yes. Every AI Prompt section has a Preview button that generates a full, lead-specific example for any lead in your selected view. It does not count toward any send quota.

How do I review the system’s work each week?

Fifteen minutes on a Monday is usually enough: open the Dashboard, check the weekly totals vs. your plan caps, skim the Recent Runs for any skipped-or-errored counts that look unusual, and click into one or two runs to read the generated emails. If something feels off, tweak the AI Prompt or criteria and run a quick Run Once to verify the change.
